(Jacobs), and HII Nuclear Inc.ResponsibilitiesThe Administrative SpecialistII in this role serves as an integral part of the administrative support team to Supply Chain, within the Business Operations Directorate by performing a wide variety of administrative tasks, including assisting with developing and executing purchase orders, purchase contracts, construction subcontracts, and technical service agreements, while working closely with the Senior Director, directors, managers, and administrative support staff throughout the organization.Key Responsibilities Manage preparation, review and submission of reports and presentations, this includes but is not limited to, Plan of the Day (POD), managing input for daily, weekly and monthly reports, desktop instructions, document control, and rewrite of critical documents. Plan, execute, and manage a wide variety of administrative, operational, calendaring and organizational requirements and activities, requiring independent analysis and self-direction. Responsible for composing, preparing, editing, and distribution of correspondence, reports, directives, and procedures, including summaries on each order or subcontract, establishing vital information essential to a well-defined administration program. Updating the summaries to facilitate transition of assignments. May be required to coordinate, attend, and document meetings. Establish files and controls for all outgoing and incoming correspondence on each assigned order or subcontract. Monitor supplier performance for conformance to subcontract terms, while ensuring compliance with subcontract terms. Initiate and track follow-up actions with the supplier, subcontractor, or Mission Support and Test Services functions to ensure performance in accordance with subcontract terms and conditions. Develop spreadsheets, charts, presentations, and meeting minutes using standard word processing systems or software applications. Analyze and distributing suppliers' reports as specified in the subcontract. Perform other duties as assigned.QualificationsDue to the nature of our work, US Citizenship is required for all positions. Bachelor's degree in related field and at least 2 years of professional level experience or equivalent training and experience. Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook). Must be able to work effectively in a team environment with minimal supervision. Effective written and oral communication skills with the ability to interface with all levels of management and internal and external customers. Must have strong computer skills, organizational skills, and be able to prioritize work and meet deadlines. Knowledge of basic math, grammar, spelling, and punctuation. Ability and willingness to work effectively in a multidisciplinary engineering and science team environment. Pre-placement physical examination, which includes a drug screen, is required. MSTS maintains a substance abuse policy that includes random drug testing.
